How to Change a Package Reservation to include Multiple Rates

In this article we show how to add a pre and/or post night to a Package Reservation.

Locate the reservation and select “Change Res”.

Uncheck the box under the “Book” column and then press the “Convert Rate” box located to the right of the screen. The Convert Rate button only appears when changing package reservations.

NOTE: You will be unable to change the number of nights on a package reservation until the “Convert Rate” button is selected.

After you select “Convert Rate”, adjust your arrival/departure dates as desired. Select the “Refresh” button to upload the available rates & inventory.

NOTE: The Romantic Rendez-Vous Package that was originally booked no longer displays as an available rate. This is because the Romantic Rendez-Vous Package is a 2 night package and the reservation has been changed to 4 nights. You will still have the option to select the Romantic Rendez-Vous Package for this reservation, but it must be selected as a Multi-Rate and cannot be selected as your default reservation rate.

Select the Multi Rates icon located to the left of the Rate column to open the Multi Rates Module.

First, select the Default Rate that will appear as the Master Rate for the reservation. NOTE: A Package-Package (which has a set # of nights) cannot be selected as a Default Rate because the package limitations fall outside the reservation settings (ie: the Romantic Rendez-Vous Package is a 2 night package and therefore cannot be a default for a booking for 3 or more nights).  In this scenario, the last two nights of the guest stay is going to be on the AAA/CAA Rate, and therefore this will be our Default Rate.

The next step is to add the other rate(s) that you wish to apply to the reservation. The “Available Rates” column displays a list of all the rates available for the selected Client Type and Room Type.

Click on the rate in the Available Rates list that you wish to apply. In this example, the nights of the 1st and 2nd were on the Romantic Rendez-Vous package and we want the nights of the 3rd and 4th (which we just added) to be on the AAA/CAA Rate. You will therefore click on the AAA/CAA Rate in the Available Rates box.

Double click on the date where you wish to apply the CAA/AAA Rate.  

Then the Add/Edit Rate box will appear. Fill in the following information:

  • Rate – if you made a mistake and selected the incorrect rate you can use this drop down menu to select the correct rate.
  • Start/End Date – select the date range for this rate to apply. If it is just for one night, the start & end date will be the same. In this example, the AAA/CAA Rate will apply for the nights of the 1st and 2nd
  • Color – you can select a color to go along with this selection and this color will be reflected in the calendar.
  • Override Rate – check this box if you wish to override the rate to a different rate.  You would then enter the new rate into the “Value” box.
  • Default Date Rate – check this box if you wish for the Override Rate to apply to the same dates appearing at the top of the screen. Otherwise, select the date range where you wish for the override rate to apply.

Once you have finished select the “OK” button to apply the selected rate to the selected date range.

 

The Romantic Rendez-Vous Package is now selected for the 1st and 2nd, and the AAA/CAA Rate is now selected for the 3rd and 4th.  You can see the rate selected in the calendar below. You can also see the change reflected in the “Picked-up Rates” in the top right-hand corner of the screen.

NOTE: The “Remove Selected Rate” button can be used to remove any Multi Rate that is displayed above the Picked-up Rates window.  Once you have finished entering all your Multi Rates, select OK to continue.

The reservation will now show the “AAA/CAA Rate” as the Default Rate and will reflect the Multiple Rate changes on each individual date.

Once the reservation has been updated, you can add Reservation Notes to the booking explaining the Multiple Rate Changes so that the Front Desk can verify the charges posted upon check out.
