Custom City Ledger Reports will now save to the Database as opposed to the individual clerk computer. This means that everyone will now have access to ALL City Ledger Custom Statements & Invoices
When selecting to Print Statement or Print Invoice, the following screen will now appear (below is a screen shot of the City Statement Designer, the City Invoice Designer is the exact same but only contains Invoices, not Statements). Some noticeable differences:
- Default radio dial - when in the Default view clients will be able to view & send statements/invoices in the RoomKey default format.
- Templates radio dial - when in the Templates view clients will be able to view all their existing Custom statements/invoices as well as Create, Modify & Delete existing ones
- Send as PDF - all Statements & Invoices will now be sent in a PDF format
When a user first logs into the newest version of RoomKey and open the City Designer, any pre-existing Custom Statements or Invoices they have created will be imported and saved to their Database. Each user will be able to identify their own Custom Statement as it will have their Computer Name in front of the Custom Report name. Clients can then choose to delete any duplicate reports.
If a Client wishes to change the name of one of the Imported Reports (ie: get rid of the Computer Name in front of the report), they would simply use "Change Template" to open the report and then use "Save As" to re-save the report under a different name. They could then delete the original imported report.
When a Client chooses to "Delete Template" they will be deleting the report from the database and it will therefore no longer exist.
To email a Custom Statement/Invoice the clerk must go to "Templates", click on the Template they wish to send (so it highlights in blue) and then select "Send as PDF". If they do not select a specific Template they will receive the following warning:
Emailed City Ledger Statements & Invoices will now be attached PDF files and will no longer appear in the body of the email. The email will now direct the Guest to see the attached Statement/Invoice
