A few things to note in regards to processing payments using Prepaid Credit Cards:
- Prepaid Credit Cards cannot be authorized for Lodging Transactions, they must be charged
- To allow PrePaid card payments, a new PrePaid Card Payment method has been added to the interface
Check-In Process
If a guest inserts a Prepaid Credit Card during the Check-In process and an authorization is attempted, the following message will pop up in RoomKeyPMS.
- If "Yes" is selected, the guest will need to re-insert their Prepaid Card into the EMV device so that it may be charged:
The Payment will then appear on the Guest Folio once they have been checked-in.
Post Payment Process
When posting a Payment in RoomKey using "Post Payment" if the card inserted into the EMV device is identified as a Prepaid Card, the following message will pop up in RoomKey.
- If "Yes" is selected, the guest will need to re-insert their Prepaid Card into the EMV device so that it may be charged as a Prepaid Card Payment:
The Prepaid Card Payment will then appear on the Guest Folio.
Prepaid Credit Cards - Partial Payments
When posting a payment to a Prepaid Credit Card it is possible that the card may not have enough funds to cover the total Payment being requested. In this situation, the Clerk will be presented with a Warning and must do one of the following:
- type "accept" and select POST if they wish to accept the Partial Payment (ie: $9.01 is being requested but only $2.25 is approved)
- type "reverse" and select POST if they do not wish to accept the Partial Payment
- In both situations, the clerk would need to post another payment, to a different form of payment, for the outstanding balance owed by the guest
