Multi Rate Reservation - Restrictions Update

When creating a Multi Rate Reservation in RoomKey the Rate Restrictions are now displayed directly in the Multi Rate area.  Clients can now view Rate Restrictions as they are assigning Multi Rates throughout a guest say.  Changes to the Multi Rate screen include:

  1. Restriction Legend Button - displays the legend for the Rate Restrictions
  2. Add Selected Rate Button - is now located up top next to the Available Rates section (previously it was located in the middle of the screen)
  3. Remove Selected Rate Button - is now located up top next to the Picked-up Rates section (previously it was located in the middle of the screen)
  4. Prev Rates Section - the purpose of this new section is to display the original Multi Rates booked on a reservation if a clerk make a modification  (ie:  adds a night, changes stay dates, etc..)
  5. Enable Restriction Overriding - if a selected rate under the "Picked-up Rates" area appears in RED (meaning it has a restriction), then the Enable Restriction Overriding checkbox must be checked in order to proceed with the booking.

No special permissions are required to access the Multi Rates area in RoomKey, however, the Enable Restriction Overriding checkbox within Multi Rates is new and will follow the same rules it does on Reservation screen.  If you check the Enable Restriction Overriding box in the Multi Rates area, once you select OK and go to the reservation screen the Enable Restriction Overriding box will automatically check.

When selecting different rates for a Multi Rate Reservation, if a clerk selects a rate with a restriction it will appear in RED under the "Picked-up Rates" section.  NOTE:  The rate displaying in RED under Available Rates simply means the rate is restriction for the entire length of the stay selected (ie: Jan 28-Feb 4) but the client has the ability to pick different rates on different dates and avoid restrictions.

Below we can see that under the Picked-up Rates section that none of the rates appear in RED and therefore, during the dates selected for the specific rates, there are no restrictions.

And in the screenshot below we can see that our AAA Rate for Jan 31st appears in RED and that is because there is a 2 night Min LOS Restriction on that date and it was only selected for 1 night.  To proceed with this selection the clerk must check the "Enable Restriction Overriding" checkbox at the bottom of the screen.

When modifying or doing a New Res Add On for a Multi Rate reservation, the clerk will now receive the following warning(s) when they go to rebook the Room Type:

1)  If the reservation contains restricted rates within the Multi Rate Module the below warning message will appear when the clerk goes to re-book the Room Type.  The clerk would then need to enter the Multi Rate area to review booked rates & then check the "Enable Restriction Override" checkbox in order to complete the booking.  NOTE:  The Clerk could choose NOT to re-enter the Multi Rate Module and simply check the "Enable Restriction Override" checkbox at the bottom of the reservation screen but it highly advised they review rates in the  Multi Rate area first.

2)  This second warning will always appear for a Multi Rate Reservation weather there are Stay Restrictions within the Multi Rate area or not (if there are Stay Restrictions the 1st warning above will appear and once Enable Restriction Overriding has been check, this warning would then appear when they go to "Book" the Room Type).  The warning asks the client if they have reviewed the rates selected in the Multi Rate area before continuing with the booking (this should be standard procedure so this is a friendly reminder to do so if they have not already).  If they have reviewed the Multi Rates area, they would simply select "Yes" and checkbox will check and they can complete their booking.  If they select "No", it will not check and they would then go into the Multi Rates area to review the rates selected.  Once there review is complete, they would return to this main screen, check the "Book" box again and the same warning WILL appear again but this time the client would select "Yes" to continue with their booking.

Finally, if a clerk were to make any modifications to a Multi Rate Reservation (ie: Change Stay Dates from Jan 28-Feb2 to Feb 4-9) the Multi Rates originally selected would not automatically transfer to the new dates.  The clerk would need to re-select them, however, they can see what was previously selected in the new "Prev Rates" section located in the bottom right hand corner of the Multi Rates area.  NOTE:  This section will always show the previously selected Multi Rates when a change is made.  It does not keep a history of all Multi Rates selected.
