How to Override a Rate
This article explains the steps required to manually override a rate on a rate plan, during the Reservation process.
Using Rate Override
During or after the reservation process, you may override an existing PMS Rate by selecting the Enable Rate Overriding checkbox in the bottom left hand corner of the reservation screen. Overriding a rate allows you to change dollar amount of a rate while maintaining the correct Client Type and Market Segment details which are very important for accurate reporting in the PMS.
NOTE: The ability to Enable Rate Overriding is a permissionable feature in the PMS. In order to be able to override rates you must have the Reservation Management Permission 342 Rate Override, under System Configuration -> Clerks. If you do not have this permission, you will require your Manager's assistance in order to override a room rate.
Reason for Override
Once "Enable Rate Overriding" has been checked, a box will pop up asking you to choose a reason for the override. Choose the appropriate option from the drop down list.
NOTE: The reasons for Rate Overriding are customizable and need to be configured on a per property basis. Go to System Configuration > Property > Reasons > Rate Override Reasons, and enter the list of reasons for your property. These reasons will become part of the drop down list.
Variances in rate due to use of the Rate Override feature can be reported on. Go to Reports > Audits > Rate Override/Variance to run the report for a time period.
Overriding the rate for all nights
After the Enable Rate Overriding box is checked, you are able to alter the desired rate by simply typing in the new rate. In the example below our Best Available Rate is $450.00.
If you wish to change the Best Available Rate to be $350.00 per night, you can simply type 350.00 under the Average Rate column.
After the rate is selected, all nights will then update to $350.00 per night.
Overriding specific dates
If you wish to change just the night of July 18th to $350.00, then you would just type "350.00" under the column for July 18th. After hitting tab on the keyboard you will see that only the night of July 18th has changed and that the Average Rate column has updated to reflect the change in rates.
