How to Override a Rate

This article explains the steps required to manually override a rate on a rate plan, during the Reservation process.

The following Clerk permission is required to use this function: Reservation Management permission 342, Rate Override.

Using Rate Override

During or after the reservation process, you may override an existing PMS Rate by selecting the Enable Rate Overriding checkbox in the bottom left hand corner of the reservation screen. Overriding a rate allows you to change dollar amount of a rate while maintaining the correct Client Type and Market Segment details which are very important for accurate reporting in the PMS.

Once "Enable Rate Overriding" has been checked, a box will pop up asking you to choose a reason for the override. Choose the appropriate option from the drop down list.

NOTE: The reasons for Rate Overriding are customizable and need to be configured on a per property basis. Go to System Configuration > Property > Reasons > Rate Override Reasons, and enter the list of reasons for your property. These reasons will become part of the drop down list.

Variances in rate due to use of the Rate Override feature can be reported on. Go to Reports > Audits > Rate Override/Variance to run the report for a time period.

Overriding the rate for all nights

After the Enable Rate Overriding box is checked, you are able to alter the desired rate by simply typing in the new rate. In the example below our Best Available Rate is $150.00.

If you wish to change the Best Available Rate to $125.00 per night, you can simply type 125.00 under the Average Rate column.

After the rate is selected, all nights will then update to $125.00 per night.

Overriding specific dates

If you wish to change just the night of May 19th to $125.00, then you would just type "125.00" under the column for May 19th.  After hitting Tab on the keyboard you will see that only the night of May 19th has changed and that the Average Rate column has updated to reflect the change in rates.
