Phone Call Log Reports

The Phone Call Log Reports are for properties using a Call Accounting interface, where the interface posts calls directly to the PMS.

There are two Phone Call Log Reports available:

  1. All Calls Report
  2. Not Posted Calls Report

Both reports are reviewed in this article.

All Calls Report

Reports > Audits > Phone Call Log > Posted Calls Report

This report shows a list of phone calls that have been posted to guest accounts via the telephone interface.

The report includes:

  • Date (the call was placed)
  • Time
  • Extension
  • Duration
  • Amount
  • Phone Number called
All Calls Report

When would I use this report?

  • This report can be used if a guest is disputing a telephone call. It can be used to verify the telephone number called and the duration of the call
  • This report can be used to confirm that the Call Accounting Interface is working. If phone calls have NOT been recorded over a long period of time, reboot the Interface Computer and perform a test call from a checked-in guestroom to confirm that it posts to the PMS. If the phone call does not post, contact PMS Support for further assistance.

Not Posted Calls Report

Reports > Audits > Phone Call Log > Not Posted Calls Report

This report shows a list of phone calls that have NOT been posted to guest accounts via the telephone interface.

The report includes:

  • Date (the call was placed)
  • Time
  • Extension
  • Duration
  • Amount
  • Phone Number called
Not Posted Calls Report

When would I use this report?

This report can be used to check for any phone calls that did not post to guestrooms. This allows for a property to:

  • Manually post the phone call to the guest's folio in the PMS
  • Ensure that no phone calls were made from guestrooms that are showing vacant in the PMS
