How to Process Advance Deposits Using RoomKeyPMS Payments

All computers at the property, regardless if they will be using the interface to process credit cards or not, MUST be updated to Version 11.0.0.0 or above. Please note, this credit card interface is currently available for USA-based clients only.

The following article outlines how to use RoomKeyPMS Payments Powered By Fullsteam to process an advance deposit payment before the guest arrives. In this situation, the credit card is not present and the transaction is processed without using the credit card terminal.

Supported payment types: Credit Card Transactions only (Visa, MasterCard, American Express)

How to Process a Credit Card Payment During the Reservation Process

When creating a new reservation, select the rate, room type, and enter guest contact information, then complete the following:

  1. In the Guest Info tab, ensure that the Post Deposit checkbox is enabled and the correct deposit amount appears in the Amount field
  2. Enter the guest credit card information into the Payment method section
  3. Select the OK button
  4. In the Fullsteam processing window, select the Post button
  5. In the Confirm popup window, select the No button

Once the payment has been processed, an Fullsteam window will appear with an Approved message including the following:

  • Auth Code: Authorization Code
  • Transaction ID: TTID used to locate this transaction record in TranSafe
  • Reference #: same as the Transaction ID
  • Card Type: confirmation of the type of credit card used in this payment processing
  • Select Close to complete the process; if the Print Receipt checkbox is enabled, a receipt will be printed
How to Process a Credit Card Payment Before Guest Arrival

In the Arrivals or Reservations view screen, locate the guest reservation and complete the following:

  1. Select the Post Payment button
  2. In the Payments window, enter the amount to be processed in the Amount field
  3. Select the OK/Exit button
  4. In the Fullsteam processing window, select the Post button

Once the payment has been processed, a Fullsteam window will appear with an Approved message including the following:

  • Auth Code: Authorization Code
  • Transaction ID: TTID used to locate this transaction record in TranSafe
  • Reference #: same as the Transaction ID
  • Card Type: confirmation of the type of credit card used in this payment processing
