How to Sell a Valutec Gift Card

Once you have Setup Valutec Gift Cards at your hotel, this article will show you how you can use the Gift Cards module to sell both physical and digital cards directly in RoomKeyPMS.

All Valutec Gift Card sales records appear in the Sundry Sales module. If you need to refund a sale, please Click Here to see how to Deactivate/Cashout a Gift Card because they cannot be refunded from the Sundry Sales module.

How to Sell a Physical Gift Card

In the Gift Cards module (Operations > Gift Cards)

  1. Use the Gift Card # field to enter the full number recorded on the physical gift card
  2. Use the Amount field to enter the gift card amount
  3. Select the Activate Card / Add Value button

The following message will appear when creating a New Gift Card, select Yes to continue.

Next, you will be prompted to enter the payment method for the Gift Card. Select the Ok button and once the payment has been successfully processed, a message will appear confirming the activated gift card number and balance.

A record of the physical gift card will now appear in the Check Gift Card Balance section at the top of the screen

The transaction record will now appear in Sundry Sales.  However Gift Card sales cannot be refunded within Sundry Sales, instead, Click Here to see how to Deactivate/Cashout a Gift Card.

 The physical gift card may be presented to the Guest at this point.

How to Sell a Digital Gift Card

In the Gift Cards module (Operations > Gift Cards)

  1. Use the Amount field to enter the gift card amount
  2. Enable the New Digital Card? checkbox
  3. Select the Activate Card / Add Value button

The following message will appear when creating a New Gift Card, select Yes to continue.

Next, you will be prompted to enter the payment method for the Gift Card. Select the Ok button and once the payment has been successfully processed, a message will appear confirming the activated gift card number and balance.

After the gift card activation has been confirmed, you will be prompted to send the digital gift card to a recipient via email. You can customize the To, From, Recipient Email and Message fields and click the Send button.

If the Cancel button is selected on this screen RoomKeyPMS will cancel this transaction & proceed to refund both the Gift Card & the method of payment

A record of this email will appear in the Email Log tab of the Gift Cards module.
