Exception Refund Access (ERA) Agreement

When RoomKeyPMS Payment Powered by Fullsteam is installed at your property, our Interface Specialist is required to perform a Token Wipe.

Token Wipe: a procedure that removes the end-to-end encryption tokens used by your existing credit card processor to allow for new tokens created by Fullsteam. 

NOTE: Tokens cannot be transferred from one processor to another processor. 

When you complete STEP #1 Account setup with Fullsteam Payment Processing, your account is considered "Approved and Boarded" and you will have a grace period of 180 Days (6 Months) to adjust/refund or post negative payments using credit cards used with your existing processor (before the Token Wipe). After the 180 Days, you will not be allowed to adjust/refund or post negative payments using credit cards collected or used before the Token Wipe.

A signed Exception Refund Access (ERA) Agreement allows you to adjust/refund or post negative payments using credit cards collected or used before the Token Wipe, without a 180-Day limitation.

Does my property need this?

If you answer YES to any of the questions below, we recommend that you have an Owner or Control Person sign the ERA Agreement:

  • Does your property require a booking deposit?
  • Do you take a reservation prepayment before guests arrive?
  • Have you ever had to adjust or refund a credit card payment after guest check-out?
Who can sign this agreement?

An Owner or Control Person with the authority to make decisions on behalf of the property can sign the ERA Agreement.

Can I use RoomKeyPMS Payments Powered By Fullsteam without Tokens?

No, end-to-end encryption tokens are required to maintain PCI compliance for RoomKeyPMS and protect your guests' credit card data.
