Valutec gift cards can be redeemed by using them as a payment method for guest charges in RoomKeyPMS.
Valutec gift cards use the Fullsteam Payments processing interface to update gift card balances. Therefore when a gift card is redeemed (used as payment) in RoomKeyPMS, a record of the transaction will appear on the MerchantTrack portal and on the Payment Reconciliation Report so it can be included in the daily reconciliation practices.
How to use a Valutec Gift Card as Payment in RoomKeyPMS
With the guest reservation selected, complete the following steps:
- Select the Post Payment button
- Use the PmtCode field to select the GC Gift Card payment code
- Use the Card # field to enter the full gift card number
- Use the Amount field to enter the amount that will be paid using this gift card
- Select the OK/Exit button
Next, you will be prompted to settle the gift card using the Fullsteam processing window. Select the Post button and once it has been successfully settled, an approval message will appear confirming remaining balance.
The payment will then appear on the Guest Folio.
How to View Gift Card Payments on the Reconciliation Report
In the Payment Reconciliation Report (Reports > On-Line Processing > Payment Reconciliation Report)
- Select the Gift Card Redeemed section to view the details of each transaction.
Fullsteam does not accept the Reservation Res ID for Gift Card payments at this time so the ResID field will always appear as blank.
How to View Gift Card Payments in MerchantTrack
In MerchantTrack (Reports > On-Line Processing > Processor Portal)
- In the Recent Transactions section, select View Report
The Valutec gift card transaction will appear as a single line item
