Interac and Prepaid Credit Card Warnings

When processing Interac or Prepaid Credit Card Payments, the Card Information is NOT saved to RoomKeyPMS as these cards can only be processed via an EMV Terminal.  To help identify these Card Types an additional informational message has been added to both the Approved screen as well as the Guest Reservation Notes.  Please see below for additional information on these updates.

NOTE:  This new process applies to Post Payment ONLY.

When posting a transaction, if Interac is selected as the PmtCode, regardless if the guest enters an Interac Card, a Prepaid Credit Card or a Traditional Credit Card, the Card Information will NOT be saved in RoomKeyPMS.

Once the transaction is approved, the following note has been added to the Approved Message to indicate that the Card Information has NOT be saved as "Interac" was selected.

If an Interac Card was processed, Reservation Notes will be updated with the following note:  Interac was used.  Card ending in XXXX was not saved on Reservation.

If the guest entered either a Prepaid Credit Card or a Traditional Credit Card, Reservation Notes will be updated with the following note:  Card ending in XXXX was not saved on Reservation. Prepaid Credit Card was used or Interac was selected at the time of posting.

Expand or collapse content Post Payment:  When Credit Card is selected as PmtCode

When posting a transaction, if Credit Card is selected as the PmtCode and a traditional credit card is processed, the card details will always be saved under Extra Cards. However, the credit card information will display on the Guest Info tab only if the “Set as Default CC on Reservation” checkbox is selected before posting the payment.

You can set “Set as Default CC on Reservation” to be checked by default when posting a payment by navigating to:

System Configuration → Property → Preferences

Then, enable the “Auto check Default CC on Res” checkbox. Once this option is selected, the system will automatically check the Default Credit Card box during payment posting.

When the PmtCode is Credit Card, if the Guest enters a Prepaid Credit Card, the Payment will be Declined and the Clerk will be prompted with the message below.  This process is outlined in the Prepaid Credit Card Transactions Documentation.  If they select "Yes", the guest must re-enter their Prepaid Credit Card for processing.

Once approved, the Clerk will be presented with the following message advising them that a Prepaid Credit Card was used and the Card Information will not be saved on the Reservation.

Reservation Notes will also be updated to include the following message:  Card ending in XXXX was not saved on Reservation. Prepaid Credit Card was used or Interac was selected at the time of posting.

Various Scenarios - what would happen?

Below is a quick overview of how RoomKey handles various combinations of Actions (Check In, Post Payment, Check Out), PmtCodes (Credit Card or Interac), and Card Types (Interac Card, Prepaid Credit Card or Traditional Credit Card) that may be entered.

Guest Inserts an Interac Card

  • Interac cards cannot be authorized; the transaction will decline.
  • Interface message: “Interac cards cannot be authorized. Please use Post Payment and select ‘Interac’ to collect payment.”
  • Client must use Post Payment and select Interac as the payment code.
  • Interac payments are processed exclusively through an EMV device, so card details are not stored on the reservation.

Guest Inserts a Prepaid Credit Card

  • Prepaid cards cannot be authorized; the authorization will decline.
  • Payment Gateway message:  “Prepaid cards are not allowed to be used for AutoRental and HotelLodging authorizations.”
  • A RoomKey popup appears allowing the Clerk to Charge the Prepaid Card (refer to the Prepaid Credit Card Transactions Document).
  • If Yes is selected, the prepaid card is processed successfully via charge.
  • Prepaid card information is not saved, as available balance cannot be validated for future charges or guarantees.

Guest Inserts a Traditional Credit Card

  • Authorization processes successfully.
  • Credit card is saved in Extra Cards and appears on the Guest Info tab.

Guest Inserts an Interac Card

  • Interface message: “If using Interac, please select ‘Interac’ in RoomKey before initiating terminal payment.”
  • Client must reattempt Post Payment with Interac selected as the payment code.
  • Interac payments are processed exclusively through an EMV device, so card details are not stored on the reservation.

Guest Inserts a Prepaid Credit Card

  • Prepaid cards cannot be authorized; the transaction will decline.
  • Payment Gateway message: “Prepaid cards are not allowed to be used for AutoRental and HotelLodging authorizations.”
  • A RoomKey popup appears allowing the Clerk to Charge the Prepaid Card (refer to the Prepaid Credit Card Transactions Document).
  • Prepaid card information is not saved, as available balance cannot be validated for future charges or guarantees.

Guest Inserts a Traditional Credit Card

  • Payment processes successfully.
  • Credit card is saved in Extra Cards.
  • The card appears on the Guest Info tab only if “Set as Default CC on Reservation” if checked while posting payment.

Guest Inserts an Interac Card

  • Transaction processes successfully.
  • Approval message and reservation notes indicate that card information was not saved.
  • Interac payments are processed exclusively through an EMV device, so card details are not stored on the reservation.

Guest Inserts a Prepaid Credit Card

  • Transaction processes successfully.
  • Guest is not required to reinsert the card, as the process goes directly to EMVCharge.
  • Approval message indicates Interac was used; card information was not saved.
  • Reservation Notes will indicate either a prepaid card or Interac was used, where we are unable to determine whether the guest entered a prepaid or regular credit card and therefore could not save the card details.
  • Card information is not saved as Interac was selected as PmtCode.  

Guest Inserts a Traditional Credit Card

  • Transaction processes successfully via Charge.
  • Approval message indicates Interac was used; card information was not saved.
  • Reservation Notes will indicate either a prepaid card or Interac was used, where we are unable to determine whether the guest entered a prepaid or regular credit card and therefore could not save the card details.
  • Card information is not saved as Interac was selected as PmtCode.

NOTE:  If there is an Authorized Card on file and this card is used upon check-out, therefore a Settle message will be sent to Fullsteam as opposed to an Auth/Charge
