Enabling AVS Checks

By default, RoomKeyPMS Payments does not request an Address Verification Service (AVS) check when processing credit card transactions. However, properties do have the option to enable AVS verification for all credit card transactions to provide an additional layer of fraud prevention.

All computers with RoomKeyPMS that process Credit Card Transactions will need to be updated to Version 11.0.0.62 prior to enabling AVS checks.

What is an AVS Check?

AVS (Address Verification Service) helps reduce credit card fraud by comparing the billing Address, ZIP/Postal Code and Country with the cardholder account information held by the card issuer.​

If this address information is incomplete in RoomKeyPMS or does not match the billing address information on the cardholder's account, an AVS response code N is returned to RoomKeyPMS Payments and the transaction is rejected.

RoomkeyPMS Version 11.0.0.62 and the Secure Credit Card Entry Form are required for all payment transactions (RoomKeyPMS Support will automatically activate the Secure Credit Card Entry Form as part of enabling AVS)

Expand or collapse content Processing RoomKeyPMS Payments once AVS Checks are enabled

Once AVS Checks are enabled, when adding a Credit Card into RoomKeyPMS the following will occur:

When the Secure Credit Card Entry form opens, it will now include three additional fields:

  • Billing Address
  • Zip/Postal Code
  • Country

Auto-Population of Address Information

When posting a payment to a Reservation, City Ledger Account, or Group, the Billing Address, Zip/Postal Code, and Country fields will automatically populate using the information stored on the associated reservation or account.

If the Credit Card Billing Information Differs

If the credit card being processed has a different Billing Address, Zip/Postal Code, or Country than what is stored on the reservation or account, you have two options:

  1. Update the Reservation or Account (Recommended)
    • Update the reservation or account with the correct Billing Address, Zip/Postal Code, and Country.
    • Re-attempt the transaction after the updates have been saved.
  2. Update the Secure Credit Card Entry Form
    • Enter the correct Billing Address, Zip/Postal Code, and Country directly on the Secure Credit Card Entry form for the credit card being processed.

Warning: Updating these fields on the Secure Credit Card Entry form does not update the reservation or account in RoomKeyPMS. The entered address information is used only to create the payment token for future credit card transactions. Once a transaction has been processed, the entered Billing Address, Zip/Postal Code, and Country will be visible in Payments Dashboard.

Secure Credit Card Entry

The Disable AVS Check option is available only to users who have System Configuration Permission #5065 – Override AVS Check.

Best Practice: This permission should be granted only to Supervisors or Managers who are authorized to approve the decision to bypass Address Verification Service (AVS) checks.

When Disable AVS Check is selected, RoomKeyPMS will not request an AVS check as part of the transaction process. However, card issuers may still require AVS validation and can perform their own address verification independently of RoomKeyPMS.

Important: Disabling the AVS check in RoomKeyPMS does not guarantee that the transaction will be approved.  Final authorization decisions remain subject to the card issuer's validation requirements and fraud prevention policies.

When a credit card is added to RoomKeyPMS using the Secure Credit Card Entry Form, the card information is first tokenized. Once tokenization is complete, the resulting token is securely stored and used to process all future transactions associated with that credit card, including authorizations, payments, and other payment-related activities within RoomKeyPMS.

In the example below, the Tokenized Card entry shows that the AVS Override value is False. This indicates that the Disable AVS Check option was not selected during tokenization. As a result, an Address Verification Service (AVS) check was performed on the credit card as part of the tokenization process.

The AVS Override value can be used to determine whether AVS verification was requested when the token was created:

  • False = AVS verification was performed.
  • True = The Disable AVS Check option was selected, and RoomKeyPMS did not request AVS verification during tokenization.

When viewing the transaction in Payments Dashboard, the Processing section displays the AVS Response Code returned by the card issuer.

In the example below, an AVS Response Code of "Y" was returned, indicating that both the street address and five-digit ZIP/postal code provided during processing matched the information on file with the card issuer.

The Billing Address, ZIP/Postal Code and Country Code used to process the transaction can be found in the Account Owner Information section of the Transaction Details. This information reflects the address data that was included when the payment token was created and used for the transaction.

If Disable AVS Check was selected when the credit card was added or during payment posting, the corresponding Tokenized Card entry will display AVS Override = True.

When viewing the transaction in Payments Dashboard, the Processing section displays the AVS Response Code returned by the card issuer.

In the example below, an AVS Response Code of "N" was returned, indicating that neither the billing address nor the ZIP/postal code matched the information on file with the card issuer.

The Billing Address, ZIP/Postal Code and Country Code used to process the transaction can be found in the Account Owner Information section of the Transaction Details. This information reflects the address data that was submitted with the transaction and used during the AVS verification process.

Note: An AVS Response Code of "N" does not necessarily result in a declined transaction. The final authorization decision is determined by the card issuer and the merchant's payment processing rules.

Once AVS Checks are enabled, when adding a Credit Card into one of RoomKeyPMS Hosted Forms, located on eRes, Mobile Check-In/Out and Credit Card Capture Forms, the following will occur:

When the Secure Hosted Forms open, they will now include three additional fields:

  • Address Line 1 (ie: Billing Address)
  • Country
  • Zip

Auto-Population of Address Information

When completing a Mobile Check-In/Out or Credit Card Capture Form, these fields will automatically populate using the information stored on the associated reservation.

If the Credit Card Billing Information Differs

If the credit card being processed has a different Address, Zip, or Country than what is stored on the reservation or account the guest will have the option to correct this information directly in the Hosted Form.  

Warning: Updating these fields on the Hosted Forms does not update the reservation in RoomKeyPMS. The entered address information is used only to create the payment token for future credit card transactions. Once a transaction has been processed, the entered Address, Zip, and Country will be visible in Payments Dashboard.

NOTE:  RoomKeyPMS cannot alter the name or location of the fields found in the Hosted Form.  A feature request has been submitted to Fullsteam to relocate the Address 1, Country and Zip fields below the Card Number, Expiration and CVV fields.
