Export Function in the Guest Profile Module

The Export function is a multi-step process that will allow you to export a custom list of guest data in .csv file format.

STEP #1 Access the Guest Export Window

In the Guest Profile module

  1. Select the Export button
STEP #2 Select Export Criteria

In the Guest Export window

  1. Select one of the following Reservation Status options:
    • Checked Out, Reservation, In House, or Cancelled
  2. Select one of the following Marketing Campaign Options:
    • Guests who Opted in (Guest Default), Guests who Opted Out, or All Guests
  3. Enable any of the following additional criteria (optional):
    • Arrival/Departure Dates
    • Number of Stays
    • Reservation Length of Stay
    • Other Guest Criteria (Name, Address, Source of Business, etc.)
    • Other Reservation Criteria (Client Type, Room Type, Rate, etc.)
  4. Select the Get Export Data button
STEP #3 Enable Available Fields and Export to CSV

In the Guest Export window

  1. View a preview of the guest data
  2. Enable one or more of the following Available Fields to Export:
    • Guest name and contact information (Address, Email, Phone, etc.)
    • Guest Profile information (Date Created, DNR Rental Status, VIP Status, etc.)
    • Extra Profile information (Loyalty #, Vehicle information, 2nd contact information, etc.)
    • Guest Summary information (Room Nights, Stays, Revenue, etc.)
  3. Select the Export to CSV button

Guest summary information is cumulative and does not adhere to additional criteria that may have been selected in STEP #2. This means that total Room Nights, total Stays, total Revenue, and total number of Reservations or Cancellations will be displayed here, even if an Arrival or Departure date range had been selected in the previous page.
