How to Customize Mobile Check-Out Settings

The Mobile Check-Out module allows hotels to offer a mobile check-out experience for guests on their day of departure. With Mobile Check-Out, hotels can prompt departing guests to review & sign a Mobile Check-Out Form (AKA virtual Guest Folio/Bill), as well as the option of providing new credit card* information or settlement to the existing payment method on file.

*A credit card interface is required. Some restrictions may apply, please see the CC Integration Tab information below.

How to Access Mobile Check-Out
  1. In the System Configuration menu, select Mobile
  2. In the Mobile module, select the Check-Out tab
How to Customize Setting in the Mobile Check-Out Configuration Tab

In the Mobile Module, within the Check-Out tab:

  1. Select the Configuration Tab
  2. Select the Modify button
  3. Enter information into any of the following:
    • Check-Out Message, Folio(s) Review Message, Alternate Payment Message, Footer, and Optional Fields
  4. Select the Save button

Email Settings

In the Mobile Module, within the Check-Out tab:

  1. Select the Check-Out Email Tab
  2. In the Email Settings tab, select the Modify button
  3. Enable the Check Out Email checkbox
  4. Enter information into the following:
    • Required: From Name, Reply To Email, and Reply to Name
    • Optional: BCC Email
    • Required: Check Out Email Subject and Schedule Delivery
    • Required: Folio Email Subject and Schedule Delivery
  5. Select the Save button

Exclusion Rules - Information Only, No Setup Required

In the Mobile Module, within the Check-Out tab:

  1. Select the Check-Out Email tab
  2. Select the Exclusion Rules tab to view the following information:

If the Check-Out CC Integration is NOT enabled, the following guests will NOT receive a Mobile Check-Out email:

  • If the guest is paying CASH and has a balance on their Folio
  • If the guest has "Split Room Charges Equally" setting enabled between two or more share guests
  • If the guest has Routing of Charges setup
  • If the guest has a Credit Balance on their Folio

If the Check-Out CC Integration is enabled, the following guests will NOT receive a Mobile Check-Out email:

  • If the guest has a Credit Balance on their Folio
How to Customize Settings in the Mobile Check-Out CC Integration Tab

To collect new credit card information, or to automatically process a guest credit card on file during Mobile Check-Out, one of the following credit card interfaces is required: RoomKeyPMS Payments , Shift4 or Heartland.

If you manually process credit cards outside of the RoomKeyPMS database, an advertisement for RoomKeyPMS Payments will appear in the Mobile Check-Out CC Integration tab. In the Mobile Module, within the Check-Out tab:

  1. Select the CC Integration Tab
  2. Select the Modify button
  3. Enable the Allow Credit Card Settlement by Guest checkbox
    • Optional: Enable the Manually Check-Out Room checkbox. By selecting this option, the guest can still process the credit card payment, but the reservation will stay In House and require the Front Desk Agent to manually check out the room.
  4. Select the Save button
