How to Customize Mobile Check-In Email/SMS Schedules

Must be on RoomKey Version 11.0.0.19 or higher to update Mobile Check-In Email/SMS Settings.

In order to increase the completion rate for Mobile Check-In, properties now have the ability to schedule more then one Email/SMS Text reminder for guests. 

Mobile Check-In Email Settings

System Configuration -> Mobile -> Check-In Messaging -> Email Settings:

  • Select "Modify" should you wish to update the information located in the top portion of the screen
  • Select "Add" or "Delete" to update Email Schedules below

Additional schedules may be added by using the "Add" button.  Once Add is selected use the "Days Before Arrival" drop down menu to select the desired schedule:

  • Day of Arrival - email will send at selected time on reservation Arrival Date
  • 1 Day Before Arrival - email will send at selected time 1 Day before the guest is scheduled to arrive
  • 2 Days Before Arrival - email will send at selected time 2 Days before the guest is scheduled to arrive
  • 3 Days Before Arrival - email will send at selected time 3 Days before the guest is scheduled to arrive

Complete the schedule by entering the Send Time & Subject.  Continue to select "Add" to enter all desired scheduled emails.  Select "OK" to save.

Mobile

Should you wish to change any information on your existing schedules simply double click on the box, make the desired change and then select "OK" to save.

Should you wish to remove any scheduled emails, simply click on the schedule and select "Delete"

Reports -> Messaging Logs will display all Email & SMS Text messages that were scheduled to send on the selected Date Range.  Delivery view can be changed to "Email" in order to view Email messages only.  

The "Type" column will reflect the schedule that triggered the message to be sent (ie:  4:00AM Arrival Day = the Day of Arrival 4:00 AM schedule, 6:00PM 1D Before Arrival = 1 Day Before Arrival 6:00 PM schedule).

NOTE:  If a guest completes their Mobile Check-In after an email is sent (ie: 6pm 1 Day Before Arrival), then no further Mobile Emails will be sent, regardless of the schedule.  So, in this example, they would NOT receive an email at 4am the Day of Arrival nor the 11am Day of Arrival email.

Messaging Logs

If "Re-send" is selected for an email in the Messaging Logs, the subject for the email being re-sent will be the same as the original email that you are re-sending.  So, for example, if your 6:00PM 1D Before Arrival subject is "You arrive tomorrow but can Check-In now!" and you choose to re-send this email, the new email being sent will also contain the subject "You arrive tomorrow but can Check-In now!"

If you select to send an email by right-clicking on a reservation and selecting "Send Mobile Check-In Email", the subject of the email will be the same subject as the 1st scheduled "Day of Arrival" email

  • Select "Add" or "Delete" to update SMS Text Schedules below
