The following article explains the steps required to make a Wait List reservation. This is useful for periods where a hotel is sold out or fully committed, but wishes to keep options open should a cancellation or change arise. Wait List reservations are non-guaranteed, but can be moved to guaranteed status from the Wait List screen, allowing the hotel to maximize occupancy during peak periods.
Create a New Reservation
The Wait List area of the PMS allows you to quickly and easily make up for cancelled reservations on days that are sold out. The Wait List feature allows you to create a reservation for a guest that will hold a price quote for a particular room type without affecting the inventory calendar. Not all properties create Wait List Reservation so speak to your Manager before using this feature.
In order to make a Wait List reservation select the New Res button at the top of the screen.
Check "Wait List"
When the reservation screen appears, ensure to check the box next to Wait List in the top right.
This box MUST be checked to identify this reservation as a Wait List Reservation. If you do not check this box, this booking will appear as a normal reservation within the PMS, and will take a room out of your Inventory.
Complete Reservation
Proceed to complete the guest reservation as normal. Once the reservation has been completed, it will appear in the Wait List View Screen.
Confirming a Wait List Reservation
Should you wish to convert a Wait List reservation into an Actual reservation, first locate the Wait List Reservation and ensure the black arrow is pointing towards the correct guest name. Next, click on the Confirm Req button at the top of your screen.
A message will appear asking you to confirm that you wish to move this reservation from a Wait List Status to a Reservation Status. Select Yes to continue.
