The following article explains how to pay multiple invoices on a City Ledger Account, with a single payment, and without using any Payment Credits on file.
Locate the desired Account
Go to Operations > City Ledger. Locate the City Ledger Account where the invoices are located. If you are unsure how to search for a City Ledger Account, please see the article How to Search for a City Account in the City Ledger module.
Once you have located the City Account, click on the View Details button or double click on the City Account name to open the Account Master screen.
Posting Payment
Once in the Account Master Screen, proceed to the Invoices tab, and select the Pay Invoice button located at the bottom of the screen.
A message will appear asking if you would like to pay multiple invoices, select Yes to continue.
Payment Window
Fill in the following information:
- Transaction Code – select the transaction code that corresponds with the method of payment
- Reference – auto populates with the description of the transaction code select, additional information may be entered.
- Cheque # - enter the cheque number (this field will only appear if you are paying by Cheque).
- Amount – enter the amount of the payment being made
- Select Next to proceed to the next step
Selecting Invoices
The next screen allows you to select which Invoices you wish to pay. There are two ways to select invoices:
- Add Invoice button
- Auto Apply button
Add Invoice
Add Invoice - select the invoice you wish pay (ensure the black arrow is pointing towards the correct invoice) and click the Add Invoice button. The invoice will highlight in green to show it is selected and the amount of the invoice will add to the Applied Amount total at the bottom of the screen. Continue to add all applicable invoices using the Add Invoice button.
NOTE: Invoices can be removed from the payment list by clicking Remove Invoice.
Auto Apply
Auto Apply – selecting this option allows you to apply the payment based on:
- First In/First Out – pays invoices in ascending order from oldest to newest
- Last In/First Out – pays invoices in descending order from newest to oldest
- Purchase Order # - pays specific invoice(s) with the associated PO Number
All invoices that fall within the Payment Amount will highlight in green.
Adjusting the Applied Amount (optional)
NOTE: It is possible to select how much of an invoice is to be paid by adjusting the amount in the Applied Amount column. Click into the column and type in the desired amount to be paid.
Partially Unpaid Invoices
If the sum of the Payment Amount being applied amounts to less than the sum total of all selected invoices, some invoices may only be partially paid, or left completely unpaid (depending on the payment option chosen).
In the below example, we see Lisa Ware's invoice still has a balance. Using the First In/First Out option, there was only $105.66 remaining from the $2400 payment, as all the other invoices were paid first. This left a balance on her invoice which still needs to be paid later.
Completing the Payment
Once all desired invoices have been selected, click Post Payment to process the payment.
The Invoices will no longer appear in the Invoices tab as they now have a $0.00 balance. To view invoices with a zero balance, check the Show Zero Balance Invoices check-box.
