How to Migrate Rates into the Rate Wizard

Rate plans that were once created in the old Rates module (System Configuration > Rates) can be migrated into the Rate Wizard using the following steps:

The old Rates module is a legacy-function that requires you to manage rate plans and pricing per room type, per distribution channel.

The Rate Wizard simplifies rate management and once you migrate rate plans from the old Rates module, it allows you to manage all your rate plans in one area, across all room types and distribution channels.

If you have several rate plans that you want to migrate into the Rate Wizard, you must migrate them ONE AT A TIME. Once a rate plan has been migrated, it cannot be reversed.

STEP #1 Access the Rate Migration Tool

In the Rate Wizard

  1. Select the + symbol to add a new rate plan
  2. In the New Rate window, Right-Click and select Add Existing Rates

STEP #2 Follow the Rate Migration Steps

The purpose of these steps is to review and select the rates built in the old Rates module per distribution channel and per room type. If the rate plan in was built and distributed across two or more distribution channels and applied to two or more room types, the rate plan will appear in each room type in each step.

In the Rate Migration window

  1. Select the CRS rates you want to migrate (if applicable), then click the Next button
  2. Select the Hotel Website rates you want to migrate (if applicable), then click the Next button
  3. Select the GDS rates you want to migrate (if applicable), then click the Next button
  4. Select the Hotel Direct rates you want to migrate (if applicable), then click the Done button

You can only select ONE rate plan per Room Type during this process

During this migration step, you can choose a default rate (see example below). A Default Rate will allow you to copy the rate restrictions applied to that rate plan in the Rates module to the resulting rate plan in the Rate Wizard

STEP #3 Complete the Migrated Rate Plan Information

  1. Enter the following details
    • Category
    • Rate Name
    • Rate Code
  2. Use the drop-down menu to select a Market Segment
  3. Use the Description field to enter a description of the rate plan (optional)
  4. Select the Create button

The new, migrated rate plan will now appear in the Rate Wizard. Any changes to this rate, including price changes and restrictions, must be completed here.

STEP #4 Add/Remove Distribution Channels and Room Types (Optional)

If you add a new distribution channel but not a new room type, you can use STEP #7 Copy/Paste Rates to copy rate prices from the original distribution channel to the new one.

If you add a new distribution channel and a new room type, you are required to enter new rate information using STEP #8 Load Rate Prices / Enable Rate Tiering

In the Rate Wizard

  1. Select the new, migrated rate plan
  2. Select the Edit button (pen & paper symbol)
  3. Click or un-click the checkboxes to add/remove distribution channels
  4. Click the More Details button to add/remove Room Types (per distribution channel)
  5. Select the Update button to save these changes

STEP #5 Attach Client Types

A rate plan must have an attached client type to allow it to be booked. The purpose of this step is to confirm each distribution channel has at least one client type attached.  

If you attach a client type with a corporate function (i.e. Corporate, Corporate Online Booking, OTA, etc.) you are required to enter corporate information in STEP #6 Attach Corporate Account

In the Rate Wizard

  1. Select the new, migrated rate plan
  2. Select the Edit button (pen & paper symbol)
  3. Select the Client Types tab
  4. Click the black-arrow to expand each list of client types and select ONE Client Type per Distribution Channel
  5. Select the Update button and close this window

STEP #6 Attach Corporate Account (Optional)

If your new, migrated rate requires a corporate account and you attached a client type with a corporate function (i.e. Corporate, Corporate Online Booking, OTA, etc.) in the previous step, follow these steps to attach your corporate account.

When editing your new, migrated rate plan

  1. Select the Corporates tab
  2. Click the black-arrow to expand each list of client types and select the corporate account to each Distribution Channel
  3. Select the Update button and close this window

STEP #7 Copy/Paste Rates (Optional)

The purpose of this step is to copy rate prices from the original distribution channel to the new one using the old Rates module. If you do not want to use this module, you can use STEP #8 Load Rate Prices / Enable Rate Tiering to manage rate prices in the Rate Wizard.

In the old Rates module (System Configuration > Rates)

  1. Locate the original rate plan and Right-Click to select Copy
  2. Locate the newly-added rate plan and Right-Click to select Paste (do not Paste as new rate plan)

Repeat these steps for each room type.

You can now select the Rate Calendar tab to review the copied rate prices.

STEP #8 Load Rate Prices / Enable Rate Tiering (Optional)

The purpose of this final step is to confirm that rate prices are loaded for each room type, for each distribution channel.

In the Rate Wizard

  1. Select the new, migrated rate plan
  2. Select the Next button

In the lower-half of the General tab screen, use the Room Type and Rate Type drop-down menus to select and review each room type and each distribution channel, respectively. If you find one or more room types or channels where the calendar is RED (No Rate Set-up) or the prices are wrong, you can use the following options:

Load Rate Prices

In the General tab

  1. Un-check the Lock the Grid checkbox
  2. Use the Grid/Rate Template to enter the rate increments (per room type, per occupancy)
  3. Select the Update Rate Template button
    • You can re-check the Lock the Grid checkbox to prevent changes to the rate increments (Optional)
  4. Enter the base rate into the SingleDoubleTriple, and Quad fields of the Base Rate Row; the rate prices will appear in the Rate Template below the Base Rate Row
  5. Enter the applicable date range into the Date From and Date To fields
  6. Enable the Update Rate Amounts checkbox
  7. Select the Save button

Repeat steps 4-7 above for each additional date range

Enable Rate Tiering

  1. Select the Rate Tiering tab
  2. Check the Enable Rate Tiering checkbox
  3. Use the available fields to set the rate tier features:
    • Apply for: these checkboxes allow you to copy both the Rate, as well as restrictions like Closed/Closed to Arrival, LOS Restrictions and Number to Sell from the parent rate plan
    • Rate Tiered off: this drop-down menu allows you to select the parent rate plan
    • Calculation Formula: allows you to enter a custom rate calculation based on an amount or percentage. Always read formula words written in blue to ensure the formula is correct.
    • Rounding Type: these radio buttons are available when your calculation is based on percentage and they allow you to round to the closest penny, dollar, or five-dollar amount.
  4. Select the Save button
