NOTE: This release is currently available to all Windows PC users.  A new macOS build will be available in the 2nd quarter of 2026, a notification will be sent to MAC Users as soon as the new build is available.

As part of our journey toward a fully web-based RoomKeyPMS experience, we’re excited to introduce Web Based Notes, replacing the previous Reservation and Guest Notes. This update marks an important step in modernizing the platform. Over time, you’ll begin to see more RoomKeyPMS modules transition to new web-based versions—bringing greater flexibility, accessibility, and performance as we work toward delivering a completely web-based solution for our clients.

Group Module - User Experience Enhancements

We’re excited to roll out a major enhancement to the Group Module—users can now update Group Dates without losing blocks or overridden rates and RoomKeyPMS will now offer Smart Suggestions when it comes to updating Group Reservations. SMS Opt-in Tracking

RoomKeyPMS now allows properties to track SMS Opt-in consent from their guests.  This feature is available directly in RoomKeyPMS and also for bookings made on the eRes Online Booking Engine.  This update was developed for properties using the RoomKey/HeyFetch Integration but could be used for Internal Tracking by properties who use 3rd Party Systems to send SMS Messages to guests.  Click on the link below to learn more about this new feature!

Enhancements/Updates

Activity Log for Reversals & Adjustments not displaying Transaction Code =>  a property reported that the Transaction Code was not displayed in the Activity Log when a transaction was Reversed or Adjusted. A database update was deployed on the morning of January 5th to address this issue.  As of the deployment, any transactions that are Reversed or Adjusted will now display their corresponding Transaction Code in the Activity Log.  This change applies only to reversals and adjustments made after the deployment date; previously processed reversals and adjustments will not be retroactively updated.

RoomKeyPMS Clerk Search => Within the Clerks Module, you can now quickly locate any Clerk using the new Search function in the top-left corner of the screen. Simply type the Clerk’s first name, last name, or Clerk ID and press Enter—the matching Clerk will appear instantly. To return to the full list, just clear the search field and press Enter again.

RoomKeyPMS Payments Powered by Fullsteam - Prepaid Credit Card & Interac Payment Enhancements => it was brought to our attention that it is not always obvious why a Credit Card's information is not being saved on a Guest Reservation.  To help with this issue, enhancements have been made to the messages being returned in RoomKeyPMS for Interac and Prepaid Credit Card Payments.  The following link provides more information regarding these updates => Interac and Prepaid Credit Card Warnings

Paperless Check-In Vehicle Information Page => it was reported that guests were often unsure how to proceed when the Vehicle Information page appeared during Paperless Check-In, particularly if they did not have any vehicle details to enter.  To address this, a “Skip” button has been added to the final page, allowing guests to bypass the Vehicle Information step and complete their Paperless Check-In more seamlessly.

Group Note size => the Notes Tab area within the Group Module (Operations -> Groups) has now been increased to allow up to 4000 characters.

Inactive Clerk appearing in Sales Manager drop down => it was reported that if a Clerk was flagged as a Sales Manager, if their login was then deactivated, their name would still appear in the Sales Manager drop down menus located under Operations -> Groups and Operations -> Wholesaler.  An update has been made so Inactive Clerks will no longer appear for selection.

Clearer indicators for timeout‑related payment failures => some properties have reported that when a timeout error occurs during payment processing and no payment appears on the Guest Folio, a duplicate payment may be accidentally processed. This happens because the payment was successfully completed in Fullsteam but did not post to the Guest Folio, leaving users unaware of the successful transaction.  To help prevent this issue, the following updates outline the re‑try attempts that will now occur in these scenarios => Credit Card Payment Re-try Attempts

Prepaid Credit Card appears saved to Reservation when it is not => it was reported that after a Prepaid Gift Card Payment was posted to a reservation, the associated Prepaid Credit Card information would briefly appear on the Guest Folio tab but would disappear once the reservation was refreshed.  This issue has now been resolved.  Since RoomKeyPMS does not store Prepaid Credit Card details on the Guest Folio, this fix ensures that the information no longer appears to be saved after the payment is posted.

Messaging Logs CC Capture Form filter => it was reported that the CC Capture Form filter under Reports → Messaging Logs was not correctly filtering emails sent with the CC Form category. This issue has now been resolved.

Unable to reverse Interac Transactions made in Sundry Sales => it was reported that clients using RoomKeyPMS Payments in Canada were unable to reverse Interac transactions made through Sundry Sales. This issue has now been resolved, and Interac transactions can be successfully reversed within the Sundry Sales module.

Incorrect TCode associated with posting => an issue was reported where the incorrect Transaction Code was being posted during the Post Charge process. This occurred when clerks used the keyboard to type the first letter of a code after opening the dropdown with the mouse, then clicked OK/EXIT without selecting the code from the list—causing RoomKeyPMS to default to the first available code. This has now been fixed, and RoomKeyPMS will correctly post the intended Transaction Code when using this workflow.

Incorrect Guest Service price after price update => it was reported that the Services tab of an in‑house reservation was not showing the correct price for a Guest Service when the price was scheduled to update on the same day.  The service was posting correctly to the folio—this was strictly a display issue on the Services tab.  This issue has now been fully resolved.

OAuth token has expired message => when sending an emails from RoomKeyPMS, if email was configured with Microsoft OAuth 2.0 Authorization, when the OAuth token expired, the message that appeared did not clearly define the issue.  This message has now been updated to clearly indicate that the OAuth token has expired and that the Microsoft Authorization information must be re‑entered into the Registry Tab in order to refresh the token.

Room Inventory Description (second language) => this field was previously available under System Configuration → Room Inventory; however, it was not connected to any functionality within RoomKey or eRes. To avoid confusion for clients, this field has been removed from RoomKeyPMS.

Wholesaler Block Tab appearing blank when first opened => during testing a bug was discovered in the Wholesaler Modules where, if you were on the 1st Wholesaler within the Wholesaler Module, and went directly to the Block Tab, the Block Tab appeared to be blank.  If you went to the Inventory Tab and then back to the Block Tab, the Block Tab would then populate with the correct information.  This issue has now been fixed.
